We have two openings for Level 3 or 4 Administrative Assistants to join our team of qualified, diverse individuals in the Remote Sensing Programs Business Unit. This organization designs, builds and operates cutting edge payloads that are critical to our national defense. These positions will each support one of the Operating Units within the BU. One position will be located in Baltimore, MD and the other will be located in Rolling Meadows, IL.
What You’ll get to Do:
We are seeking high energy, dependable teammates. As a selected candidate, you will work closely with OU director and support the OU’s program managers as well as collaborate with the staff working on programs in a variety of capacities including arranging meetings, setting up and maintaining files, arranging and setting up food orders, supporting office moves and associated equipment orders, arranging travel for personnel, processing associated expense reports and supporting special program and campus events.
We are seeking independent thinkers with track records of excelling in a fast-paced, multi-faceted, and collaborative team-based environment. The positions require excellent communication skills, an ability to organize and prioritize tasks independently, strong time management skills and strong office management and interpersonal skills. The selected candidates should have the ability to act with discretion and good judgment when handling or disseminating sensitive, confidential, or proprietary information. These positions will report to the Operating Unit Directors and provide support throughout the leaders in the Director’s organization as required.
Arrange meetings and teleconferences
Maintain and synchronize calendars
Arrange travel and prepare associated expense reports
Coordinate on-boarding of personnel
Answer questions and solve problems related to office operations and established policies and procedures
Coordinate office workspace planning, ordering office equipment with the facilities and IT organizations
Interface with other organization leaders
Support coordination and integration of meeting materials
Support and collaborate with other Administrative Assistants as needed
Support special event planning and catering, such as meal planning, ordering food from caterers, delivering food, clean up and expensing
This position may be filled as either a level 3 or a level 4 based on the qualifications listed below.
Level 3: High School Diploma/GED plus 4 years of additional education and/or experience
Level 4: High School Diploma/GED plus 10 years of additional education and/or experience
U.S. Citizen with a Top Secret or SCI clearance
Proficiency in Microsoft Office Suite including Word, PowerPoint, Outlook, Excel
Proficiency in editing written material for correct spelling and grammar
Experienced with organizing/maintaining/deconflicting schedules, calendars, meetings, and travel arrangements
Prior experience working as an Administrative Assistant or performing equivalent responsibilities
Experience in Concur/ITRIP, I-Buy, NG My IT, SAP
This position reports to Linthicum, MD, USA, however, this position can also be worked from Rolling Meadows, IL, IL, USA.
Salary Range: $49,400 USD – $82,400 USD
Salary Range 2: $60,900 USD – $101,500 USD
Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives.
