Administrative Coordinator, Senior – Supply

       

Reporting to the Supply Supervisor, the Administrative Coordinator, Senior is responsible for planning, review and training of supply work processes and document controls. This may include direct coordination of multiple work groups. Makes recommendations concerning development of department needs. Interfaces with all Supply work personnel, Transportation & Logistics supervisors and managers, and other department personnel. This role will handle responsibilities for ensuring efficient and accurate development of team goals for training and processes.

Position

Responsibilities:

Provides a broad range of coordination and administrative support to Supply Department.
Gathers and maintains department reporting data and documentation for weekly reports to Station Management and Logistics Department.
Manages and tracks labor allocations and Costpoint compliance for all Supply department personnel.
Provides staff and all supervisors with a single point of contact for coordination, planning, and scheduling.
Provides training to non-Supply departments if required to process items though the Supply SOP documentation processes.
Updates, maintains and creates training materials, slides, handouts, etc. for presentation and distribution.
Ensures all departmental documentation and standard operations procedures (SOP’s) are effectively trained to, tracked and documented.
Responsible for implementing, maintaining, scheduling and presenting a consistent safe workplace program that is cascaded to all Supply work centers.
Maintains and tracks all safety records and training requirements for personnel in ATTACK training tracker.
Maintains emergency documentation, vessel operations organization charts, and contact lists.
Assists, trains and works with vessel offload operation and procedures planning, setup, take down and reporting for the distribution of materials. May be assigned any role and work any shift in a 24-hour period during vessel offload or during other special operations while deployed.
Coordinates meetings, arranges appointments and events as required by Supply management.
Coordinates incoming staff documentation, packets and training schedules and greets staff upon arrival.
Maintains a proactive approach to problem solving and informational gathering, identifies and recommends needed changes to Supply department management.
Interacts with others in a professional manner, whether by telephone, e-mail, or in-person.
Operates personal tablets/computer and utilizes software programs, spreadsheets, databases, and perform report running, records search, data input, and data corrections.
Cross trains with other departments within Transportation and Logistics which may include operation of heavy equipment and over-sized tundra vehicle operation.
Assists, trains and works with vessel offload operation and procedures planning, setup, take down and reporting for the distribution of materials. May be assigned any role and work any shift in a 24-hour period during vessel offload or during other special operations while deployed.
Completes annual light vehicle, forklift and inventory management system training classes when deployed.
Assists with runway operations during seasonal transition.
Other duties as assigned by Supply department management; outdoor work will be required in varying temperatures.

Required Education, Experience, Certificates and Licenses:

Minimum of four (4) years’ experience in a secretarial or administrative position

Intermediate skills with minimum one year of Microsoft Office Suite (primarily Excel, Word and PowerPoint)

Strong ability to clearly and efficiently communicate to facilitate and disseminate information.

Preferred:

Familiarity and capability to identify commodities in a specific functional or trades group area: Medical/Dental; Construction/Residential Repair; Automotive/Heavy & Industrial Equipment; Science/Lab Support; Food/Beverage/Retail; Office/Hotel/Janitorial Supplies; Electrical/Plumbing/Utilities/Carpentry/Fire Safety; Information Technology/Communications Supplies.
Working knowledge of materials movement, purchasing, inventory, and hazardous materials.
Bachelor’s degree preferred.
Warehouse or Supply chain logistics background.
Advanced skills in Microsoft Excel, Word and Power Point.
Knowledge of SharePoint.
IBM Maximo experience.
Previous deployment to Antarctica preferred.
Experience with remote site Logistics operations is highly desirable.

Physical and/or Other

Requirements:

Willingness and ability to deploy to Antarctica for extended periods
Successful completion of Medical and Dental examinations required by the NSF for deployment to Antarctica
Successful completion of drug screening and background check required by employer
Successful completion of Federal Background Check required by the NSF

Must be willing and able to lift and move items, parts, assemblies, and equipment up to the safety regulation maximum as required by the position.

Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors in extreme cold as required by the position.
Must participate in community programs, such as “house-mouse” (chores) , “daisy-picking” (cleaning-up around the station) , recycling efforts & safety objectives.
Valid Driver’s License issued in the United States
